Records Management Clerk – Senior

Location: Edmonton, Alberta

Work Arrangement: Onsite

Employment Type: Contract

Work Schedule: Monday to Friday

Working Hours: 8:15 AM – 4:30 PM Alberta Time

Hours: 36.25 hours per week

About the Role

We are looking for a Senior Records Management Clerk to support records review, information management, and Access to Information (ATI) activities.

The successful candidate will work closely with ATI Coordinators and Senior Advisors to review, organize, analyze, and prepare records in accordance with applicable access to information, privacy, security, and information management requirements.

This role is ideal for someone with strong document review skills, excellent attention to detail, and experience working with records, information management, confidential information, or access-to-information processes.

Key Responsibilities

  • Review records and identify information that may require redaction.
  • Examine and understand the scope of Access to Information requests.
  • Review and organize large volumes of records.
  • Identify duplicate records and organize documents appropriately.
  • Arrange records chronologically where required.
  • Determine whether records are responsive to the scope of an information request.
  • Review and analyze document content for relevance and responsiveness.
  • Assist with preparing and coordinating correspondence.
  • Prepare initial recommendations for ATI Coordinators and Senior Advisors.
  • Prepare documents and maintain ATI request files.
  • Maintain accurate information within applicable information management or ATI systems.
  • Assist with preparing completed records packages for release.
  • Follow established information management, privacy, security, and records management policies and procedures.
  • Handle confidential and sensitive information with a high level of discretion.
  • Work independently while collaborating effectively with team members and senior stakeholders.
  • Maintain a high level of accuracy, organization, and attention to detail.

Must-Have Qualifications

  • 5+ years of experience working effectively both independently and as part of a team.
  • 4+ years of experience proofing and formatting Microsoft Word documents in a professional work environment.
  • 2+ years of experience in Information Governance, Records Management, or Information Management.
  • 4+ years of experience reviewing and analyzing document content.
  • Strong attention to detail and ability to work with large volumes of information.
  • Ability to work with confidential or sensitive information.
  • Strong organizational and written communication skills.
  • Ability to work onsite in Edmonton 5 days per week.
  • Ability to complete a criminal record check prior to starting the assignment.

Nice-to-Have Qualifications

  • 4+ years of experience editing documents using Adobe Acrobat Pro or similar PDF editing software.
  • 2+ years of experience with information management concepts, privacy, and security issues related to Access to Information and privacy legislation.
  • 3+ years of experience interpreting and applying access to information and/or privacy legislation.
  • 4+ years of experience working in an environment where work is managed through tickets, requests, or email.
  • Experience with FOIP-related information management, privacy, and security requirements.
  • Previous experience supporting Access to Information requests or similar records disclosure processes.
  • Experience working with government, public sector, regulated, or highly confidential information environments is an asset.

Training & Compliance

Successful candidates will be required to complete applicable mandatory training, which may include:

  • Freedom of Information and Privacy-related training
  • Security and Cybersecurity training
  • Information Management training
  • Respect in the Workplace training
  • Other mandatory training as required
